Job Title

District Executive Secretary (District 118)

General Summary

State Representative Robert Asencio (District 118) is seeking a District Executive Secretary in his Miami office.

Minimum Qualifications

A high school diploma or its equivalent and three years of secretarial or clerical work experience. 

Possession of a Certified Professional Secretary (CPS) Certificate can substitute for the required experience. 

College education can substitute at the rate of 30 semester or 45 quarter hours for each year of the required work experience.  Vocational/technical training in an area of secretarial science or office/business studies can substitute at the rate of 720 classroom hours for each year of the required work experience.

Preferred Qualifications

Preference will be given to applicants with the ability to write and speak both English and Spanish fluently.

Employment Description

The District Executive Secretary will oversee office management and daily operations of the District Office, implement long-term strategic outreach and constituent services plans, and serve as a key liaison to local organizations and elected officials.

Qualified candidates will demonstrate strong oral and written communications skills, and familiarity with South Florida organizations.  

Must be able to multi-task, work well under pressure, work long hours, including nights and weekends as needed.

Applicants must be self-motivated, and should possess excellent organizational and interpersonal skills. Strong writing and computer skills are also required. 

Tasks include, but are not limited to: performing varied secretarial, administrative and office management duties; maintaining supervisor’s calendar and arranging appointments; arranging travel plans and preparing travel requests & reimbursement vouchers; receiving and screening all incoming calls and visitors; receiving, reading, distributing or handling incoming mail; composing and preparing routine correspondence and reports; maintaining office files, physical and computer; updating mailing lists, constituent lists and other information as necessary; operating and maintaining office equipment including computers, printers, copiers and fax machines; maintaining all supplies for the office at an appropriate level and ordering supplies as necessary; may assist in managing the district office expense account and preparing related reports; and assisting in handling constituent requests.
