Job Title

District Executive Secretary (District 96)

General Summary

The Honorable Florida State Representative Kristin Jacobs (District 96) is seeking a District Executive Secretary in her Coconut Creek (Broward County) office.

Minimum Qualifications

A high school diploma or its equivalent plus three years of secretarial or clerical work experience.    
Possession of a Certified Professional Secretary (CPS) Certificate can substitute for the required experience.
College education can substitute at the rate of 30 semester or 45 quarter hours for each year of the required work experience.  Vocational/technical training in an area of secretarial science or office/business studies can substitute at the rate of 720 classroom hours for each year of the required work experience.

Salary

Annual $28,044

Employment Description

Applicants must be self-motivated, and should possess excellent organizational and interpersonal skills. Strong writing and computer skills are also required. Additional requirements include, but are not limited to: time management mastery; ability to prioritize needs of the office; handling constituent requests; responding to office e-mails; drafting weekly commentary.
 
Tasks include, but are not limited to: performing varied secretarial, administrative and office management duties; maintaining supervisor’s calendar and scheduling appointments; arranging travel plans and preparing travel requests & reimbursement  vouchers; time managing the Representative to abide to schedule; applying for conferences; preparing travel folders and all necessary documentation; tracking the district office expense records and creating related reports; handling constituent requests; ensuring office contacts are up to date; writing office handouts for events; ability to attend events; drafting session and office updates and newsletters; receiving and screening all incoming calls and visitors; receiving, reading, distributing or handling incoming mail; composing and preparing routine correspondence and reports; maintaining office files, physical and computer; updating mailing lists, constituent lists and other information as necessary; operating and maintaining office equipment including computers, printers, copiers and fax machines; keep inventory of office supplies and assist in ordering supplies as necessary; legislative tracking; quantitative information gathering and assessment; assisting in policy research; assisting the Legislative Assistant.
 
ADDITIONAL SKILLS: Effective communication, critical thinking, multitasking, ability to strategize, creativity, must be very detailed oriented, ability to foresee potential problems. 
 
CORE RESPONSIBILITIES:
Organize travel arrangements for the Representative; maintain calendar along with all necessary detail; scheduling appointments; answer casework correspondence and verbal communications with constituents; posting and updating all legislative business social media accounts; attend State and local meetings or event invites on behalf of office.
