Job Title

Administrative Assistant (Community Affairs)

General Summary

This position is for an Administrative Assistant in the Senate Committee on Community Affairs. This is independent work coordinating administrative tasks and assignments, and providing analysis and research on a variety of administrative matters. A majority of work involves the performance of various routine and non-routine tasks following standardized practices, however some administrative tasks and assignments may be complex in nature and very broad in objective and require coordination with the supervisor on methods of performance.

Examples of Work Performed

  • Assists in planning committee meetings and workshops.
  • Responsible for preparing committee meeting notices and agendas, publishing bill analyses and other meeting materials, and recording and reporting out committee meeting actions. 
  • Drafts amendments and substantively edits bill analyses and other documents.
  • Acts as official custodian of bills referred to committee.
  • Operates a computer to perform spreadsheet applications, word processing, and/or database management.
  • Performs special assignments, research, and report preparation. 
  • Reviews records and reports which require action and recommends solutions or courses of action.
  • Prepares confidential correspondence, secures information necessary for preparing replies, and answers telephone inquiries to relieve supervisor from routine assignments.
  • Processes a variety of correspondence, investigates subject matter, and prepares replies.
  • Assists supervisor in handling daily administrative duties and acts in matters where authority has been delegated.
  • Trains and supervises clerical and/or other administrative personnel to ensure accurate and smooth work flow of the unit.
  • Assists in formulating and recommending programs and policies of the unit; interprets and administers policies.
  • Performs general office management duties and other related duties as required.

  • Ability to establish and maintain effective working relationships with others.
  • Ability to train others.

Minimum Qualifications

A bachelor's degree from an accredited college or university and administrative experience.
Administrative or staff experience can substitute on a year-for-year basis for the required college education.
